Privacy Policy
Last updated November 5, 2026
WorkSphereLife LLC, a Delaware limited liability company (“WorkSphereLife”, “we”), runs the WorkSphereLife career and hiring platform. This policy explains what we collect, why, who sees it, and the control you have. The short version: we use your data to run your search and your hiring, we never sell it, we never use it to train AI, and you can see, export or delete it at any time.
What we collect
- Account details: name, email, password (stored only as a one-way hash), sign-in records, and two-step verification settings.
- Career information you provide: resumes and other documents, work history, education, skills, preferences, and answers to common application questions.
- Activity: jobs you view or save, applications you prepare or send, interview rounds you log, and every step Autopilot took on your behalf.
- Forwarded hiring emails, if you set up forwarding: for each message we keep the sender, subject, date, a snippet of up to 300 characters, how we classified it and what we updated. We never keep the full message body or attachments, and we never send email from your account.
- Your LinkedIn connections, if you upload LinkedIn's Connections export: each connection's name, employer, position and profile link. We drop email addresses and anything else in the file. We never sign in to LinkedIn or contact your connections.
- Voluntary self-identification (gender, race/ethnicity, veteran and disability status), only if you choose to provide it. By default we decline to self-identify for you.
- Billing details are handled by Stripe. We never see your full card number.
- For hiring teams: your organization's roles, pipeline decisions, notes, and the candidate submissions you receive.
How we use it
- To build your profile, show and explain job matches, and prepare application materials only from statements you've accepted.
- To submit applications on your behalf when you turn on Autopilot and authorize it, within the rules you set.
- To keep your tracker current from forwarded emails and employer updates, and to prepare you for interviews.
- To show you who you know at a company, from your own connections export, for your use only.
- To send email you asked for, such as job alerts. Every alert has a one-click unsubscribe.
- To run the service: security, fraud prevention, support and billing.
Hiring Pulse and other aggregate statistics
We combine application outcomes across candidates, such as whether and how quickly a company replied, into company-level statistics (“Hiring Pulse”) and anonymous benchmarks. A statistic is shown only when enough different candidates are behind it that no individual's search can be identified. These statistics never include names, documents or messages.
AI processing
With AI assistance on, parts of your documents and profile are processed by Anthropic's Claude models to read resumes, tailor materials, explain matches, coach interview answers and summarize submissions for employers. Our provider terms do not allow your data to be used to train models, and neither do we. You can turn AI off in Settings and keep using our standard tools.
Automated decisions
WorkSphereLife does not decide who gets hired. Match bands are guidance for you; for employers we show evidence against their requirements, and a person on their team makes every decision. We never auto-reject candidates. Employers using WorkSphereLife are responsible for any notices their local laws require when they use software in hiring.
Sharing
- With employers you apply to: only the materials and answers you, or Autopilot with your authorization, submit. If the employer connects an applicant tracking system such as Greenhouse, your submission is copied there.
- With employers hiring on WorkSphereLife: they may invite past applicants to a new role. An invite is only a message; nothing is submitted unless you apply.
- With the service providers listed below, who run the platform for us under contracts that limit their use of your data.
- When the law requires it, or to protect people from harm.
We do not sell your personal information or share it for cross-context behavioral advertising, and we use only the cookies needed to keep you signed in.
Your choices and rights
- See everything we store, and what was done with it, on the “Your data” page.
- Download all your data, including original files, forwarded-email records and connections, at any time.
- Correct your profile, or delete any statement, forwarded-email record or your connections.
- Delete your account. This permanently removes your data from our systems within 30 days. Copies of applications already sent stay with those employers.
- Pause or revoke Autopilot authorization, stop email forwarding, or unsubscribe from alerts at any time.
- Wherever you live in the US, you can use the rights described in state privacy laws (to know, access, correct, delete and port your data, and to limit use of sensitive information) by using these tools or emailing us. We won't treat you differently for doing so.
Retention
- Account and profile data: while your account is active, then deleted within 30 days of closing it.
- Forwarded-email records: 12 months, then deleted automatically.
- Autopilot screenshots: 30 days, as proof of what was submitted.
- Security and audit logs: up to 12 months.
Security
Data is encrypted in transit and at rest, and sensitive fields are encrypted again in our database. Access is logged and accounts support two-step verification. If a breach affects your data, we will tell you without undue delay.
